The Opportunity at Altana

We are seeking an Executive Assistant to provide comprehensive support to our London-based Commercial leadership and support our London Office operations. In this role, you will oversee day-to-day operations, offering administrative and programmatic assistance to enhance time management, information flow, and decision-making processes. The person in this role will be a trusted partner and have the ability to exercise good judgment in a diversity of situations, with strong planning and organizational skills, and the ability to maintain balance among multiple priorities.

Your Responsibilities

  • Planning Complex Meetings; you will plan internal and external meetings across multiple timezones and geographies. You will ensure customer meetings are managed, handled professionally and will persistently chase down the right POCs to align on scheduling.
  • Manage the Head of Enterprise's calendar with meticulous detail, utilizing a collaborative approach to deconflict and prioritize critical engagements. Partial scheduling support for other Commercial leaders.
  • Proactively manage executive travel, including itinerary planning, stakeholder outreach, and calendaring, while coordinating logistics, meals, and events, encompassing dinners and other engagements. Additionally, handle the filing and management of expenses, ensuring accurate and timely submission of expense reports
  • Partner with external partners and act as the primary point of contact in London for on-site guests, as well as manage office operations for the office.

About You

  • 1+ years of related Executive Assistant experience supporting leaders of high-growth organization
  • Strong understanding of business cycles, including willingness to work non-standard hours as needed
  • Highly organised and has the ability to prioritize a variety of tasks with rigorous follow-through
  • Exceptional interpersonal and communication skills both verbal and written; proven experience interacting with a wide range of stakeholders.
  • Great at building relationships, facilitating, and treating everyone with respect while still enforcing priorities
  • Advanced proficiency with the following software: Google Suite, Slack, MS Office (Word, Excel, PowerPoint, Outlook) and Apple products

This role is based in London and candidates must be within commuting distance from our Holborn office. Candidates should expect to be in the office at a minimum of 4 days a week.
