About The Role

AON3D is actively seeking a dynamic, organized, and reliable Logistics Coordinator to join our growing team. This is an onsite position at our Montreal facility. Reporting directly to the Procurement and Warehouse Supervisor, the Coordinator will be responsible for preparing and maintaining documentation for inbound and outbound domestic and international shipments, coordinating outbound shipments with the Production team, monitoring aftermarket customer orders and occasional returns, and ensuring exceptional customer service throughout all interactions.

The role involves a combination of physical and administrative responsibilities. A typical day may include unloading incoming materials from trucks, completing and submitting customs declaration forms, and booking carriers for upcoming shipments.

The ideal candidate thrives in a fast-paced environment, communicates clearly in both speech and writing, and demonstrates strong problem-solving abilities.

What You Will Do

  • Prepare and maintain all necessary documentation for outgoing shipments, including packing lists, commercial invoices, bills of lading, and customs documents
  • Coordinate pickups with customers and carriers
  • Document errors related to shipped and received orders
  • Track outbound shipments and proactively resolve delivery issues, delays, or exceptions
  • Manage relationships with brokers, carriers, delivery companies, and other logistics vendors
  • Ensure compliance with CUSMA requirements, including vendor CUSMA certificates of origin, certificates sent to customers or brokers, and auditing of incoming customs documentation and border transactions
  • Select appropriate shipping methods and service levels based on customer requirements, cost, and lead time (courier, LTL, FTL, air freight, etc.)
  • Participate in annual physical inventory activities, as well as regular cycle counts and reconciliations
  • Prepare customer orders for shipment, including picking, packing, wrapping, and labeling materials.
  • Confirm quantities, destinations, and delivery methods
  • Perform other related duties as required

What We Are Looking For

  • Minimum 5 years of experience in a similar role, preferably in industrial machinery or a related industry
  • High school diploma (DES) required
  • DEP, AEC, or college coursework in Warehouse and Distribution, Logistics, or Supply Chain is considered an asset
  • Strong computer skills, including Microsoft Office, ERP systems (Odoo preferred), and customer or vendor portals
  • Highly organized, meticulous, and detail-oriented
  • Extensive experience with international shipping processes and documentation
  • Strong oral and written communication skills in French and English. English proficiency is required to communicate effectively with teams, clients, and partners located outside Quebec where French is not the working language. Knowledge of Spanish is considered an asset
  • Ability to manage multiple tasks simultaneously
  • Role may involve physical activities such as standing, walking, bending, or kneeling for certain periods
  • Some tasks may include loading or assisting in loading crates using appropriate equipment. Receiving activities may involve handling items up to 40 lbs (18.8 kg)
  • Customer service experience is an asset
