This role can be based out of our Paris office - 5 days a week in the office.

Job Responsibilities:

  • Ensure the office is a Great Place to Work, operated and maintained in a safe, professional, clean and cost-effective manner. “Own what you do” is a company core value
  • Employee Engagement & Experience: In partnership with workplace management, assist with planning and executing office-wide events and meetings, in addition to Workplace-sponsored initiatives (for example: Pride celebrations, Mental Health Awareness Week, Earth Day, etc.)
  • Proactively inspect the workplace conditions daily to ensure standards are maintained - Be obsessed with our Internal & External customers and earn their trust. Everything starts with serving the customer well
  • Work from reception when required
  • Monitor office and kitchen supplies inventory
  • Event management - including arranging catering, managing calendars for meeting rooms and booking meeting rooms and conference spaces when required
  • Purchase Order management / budget management - ensure the workplace team is operating within budget
  • Physical security - manage the security access control system to make sure the system is up today for the visitor/employee. Running reports as required
  • Health & Safety - champion health and safety in the workplace by coordinating health and safety initiatives; supporting fire drills and employee H&S training onsite
  • Facilitate evacuation in case of an emergency and acting as first point of contact for emergency services
  • Support the life cycle of employees in the workplace: desk allocations, parking credits, lunch vouchers, new hire orientation, offboarding etc
  • Respond to, track, and action employee requests via our internal ticketing system
  • Work collaboratively with the local IT team on various ad hoc projects and events - we love collaborating and “Build Together” is a core value
  • Proactively engage with local leadership to ensure their team’s needs are being met
  • Partner with Employee Experience with on-boarding new employees and building office culture
  • Lead the day to day vendor management for cleaning services , food operations , repair and maintenance of plant & equipment and escalate any issues to the Regional Workplace Manager
  • For specifically assigned facility projects - support (and in some cases Lead) office improvements and buildout projects. This includes liaising with contractors, architects, engineers and specialty consultants, and monitoring these vendor relationships and performance
  • "Office barometer," excellent emotional intelligence to interpret issues in the workplace - Communicate with clarity and use simple, consistent and focused language because simple messages travel faster and are better understood by the organization

Job Requirements

  • 3+ years of Administration/Office Coordination/ Senior Hospitality, Events experience, degree qualified
  • Knowledge of customer service principles and practices as well as administrative and financial controls
  • Proficient user of technology as well as MS office applications. Experience with Google sheets , slides , docs etc
