The Therapist Operations Manager is responsible for overseeing all operational activities of the therapist team and engaging in clinical work at Sunstone clinics. The Therapist Operations Manager is the operational lead for the therapist team, including overseeing the therapist teams’ daily work and performance, managing operational tasks and projects related to therapist team function and study startup, and engaging in daily problem solving for the clinic. This role collaborates cross functionally with Sunstone team leads and reports to the VP of Operations.

Job Title: Therapist Operations Manager

Department: Rockville Therapist Team

Location: Hybrid - Rockville. MD Office

Reports To: VP of Operations

Supervises: Therapist Team

Job activities include but are not limited to:

Operational Responsibilities

  • Manage the Sunstone therapist team
    • Line manage the employee therapist team
    • Manage and maintain the broader consultant therapist team
  • Manage day-to-day activities of the therapist team, approve PTO and expenses, help with schedule troubleshooting, approve hours in Harvest, lead regular therapist operations meetings
  • Oversee all activities related to Study Start Up for the therapist team including attending cross functional SSU meetings, assigning lead therapists, working with regulatory to ensure training timelines are met, and ensuring all delegated therapists have the required training and resources
  • Manage the hiring process for new therapists in collaboration with HR, schedule and conduct interviews, manage onboarding process, ensure delegations to studies on time to meet clinic and SSU needs
  • Work closely with the VP of operations to ensure operational alignment across functions
  • Oversee therapist performance in operational capacities including documentation, engagement with clinical work, ability to adhere to systems and SOPs.
  • Develop and maintain robust systems, processes, and procedures - responsible for therapist program SOP development
  • For research studies, work closely with the research and quality teams on their oversight of therapist documentation and adherence to research SOPs

Clinical Responsibilities

  • Provide clinical therapy care in psychedelic therapy, talk therapy, and any other therapeutic interventions Sunstone may offer.
  • Work as a research therapist, adhering strictly to study protocols, ensuring compliance with research timelines and requirements.
  • Work closely with the therapist team clinical supervisor including meeting regularly (biweekly) in a leadership capacity for the therapist team to align on performance.
    • The Therapist Operations Manager manages performance from an operational perspective and the Lead Clinical Supervisor manages clinical performance. These two roles work together collaboratively to ensure therapists have the resources they need to be successful in their role.
  • Ensure the therapist teams’ compliance with treatment protocols
  • Participate in clinical supervision with experienced mentors and provide guidance and mentoring to trainee therapists as needed.
  • Contributing to the development of best practices in psychedelic therapy, supporting Sunstone’s mission across various projects and priorities.

The successful candidate must demonstrate the following skills, experience, and competencies:

Management and Operations

  • 2+ years of experience in direct line management, experience leading a team, understanding of management systems within a health care environment.
  • Knowledge of supervisory principles, leadership, and management methods/ strategies.
  • Strong experience in project management and operations.
  • Ability to prioritize, set goals and timelines, and lead a team to completion of projects.
  • Experience creating and implementing operational programs.

Clinical

  • 5+ years of experience in licensed clinical mental health settings.
  • 2+ years of experience working in clinical research (strongly preferred).
  • 2+ years of experience providing supervision to trainee therapists (strongly preferred).
  • Ability to develop strong therapeutic relationships with patients.
  • Excellent therapeutic, interpersonal, verbal, and written communication skills.
  • Outstanding ability to interact well with patients, their family members, colleagues, and staff.
  • Relevant education, training, and experience, in mental health care, counseling, or psychological therapies.

Research

  • 2+ years experience in Clinical Research (strongly preferred)
    • Knowledge of GCP (Good Clinical Practice) and GDP (Good Documentation Practice)
  • Experience in Psychedelic Therapy Research

  • High standards of integrity and ethics in clinical and team work.

  • High levels of accountability and compliance with required procedures.
  • Excellent attention to detail and record-keeping.

  • Ability to problem solve, prioritize responsibilities, and manage multiple priorities simultaneously.
  • Maintains adherence to required audio and video recording procedures during sessions with participants and patients. Sunstone records sessions for quality assessment, quality improvement, training, and research purposes and therapists will be recorded as a required part of their role.

Technological Proficiency and Learning

  • Ability to quickly learn and independently use technology required for operational tasks.
  • Adherence to HIPAA regulations and best practices for protecting patient confidentiality in digital and electronic formats.

Certification and/or Licensure

  • Must be a licensed provider, must have and maintain one of the following: LCPC, LGPC, LCSW, PsyD, PhD or equivalent degree that allows you to legally provide psychotherapy and counseling in accordance with federal and local rules and regulations in the State of Maryland.

Working Location

  • The Therapist Operations Manager should primarily work from the clinic or the admin office in order to be in close collaboration with the team, effectively oversee the therapist team’s work, and engage in patient facing sessions.
  • Working from home is possible at times when all meetings are remote and can be discussed with your manager.

Physical Requirements

  • Visual acuity, speech recognition, speech clarity.
  • ​Ability to lift, lower, push, pull, and retrieve objects weighing a minimum of 30 pounds including medical supplies and equipment and the transferring and repositioning of patients. Reasonable assistance may be requested when lifting, pushing, and/or pulling are undertaken which exceeds these minimum requirements.
  • This position primarily involves sedentary work, including extended periods of sitting. The role requires the ability to remain in a seated position, communicate effectively, and use standard office equipment.

Salary

$115,000 - $130,000 per year
