Scope: The Clinical Training Coordinator is responsible for the operational backbone of Sunstone’s externally delivered clinical training programs, including programs offered to external trainee therapists, partner sites, supervisors, and/or external entities. This role ensures the seamless execution of training events, maintains the integrity of our learning data, and provides essential technical and logistical support to learners, trainers, and supervisors. The Training Coordinator bridges the gap between curriculum design and learner experience, overseeing the day-to-day administration of our Learning Management System (LMS) to ensure a high-quality, professional environment for clinical training.

Job Title: Clinical Training Coordinator - External Programs

Location: hybrid, 3 days onsite in Rockville, MD

Schedule: generally 9am - 5pm, Mon-Fri

Reports To: Clinical Training Development Specialist

Supervises: n/a

Context: Sunstone Therapies is the leader in the delivery of psychedelic-assisted therapy in the medical setting, focusing on the development and implementation of clinical trials today, and moving towards clinical delivery if and when therapies are approved. Right now, we have two sites with roughly 30 employees (not including trainee therapists) and are looking to build our team and expand to 2 more sites in the next 2 years. Job activities include but are not limited to:

Training Operations & Event Support

  • Coordinate event logistics, including scheduling, materials preparation, participant communications, and hospitality.
  • Collaborate with the Clinical Training Development Specialist on communication with site leads to ensure logistical alignment.
  • Manage participant communications and registration workflows to ensure a seamless learner experience.
  • Implement evaluation processes to gather learner feedback and support continuous improvement.

Trainer & Supervisor Support

  • Manage logistical needs for trainers and clinical supervisors, including the administration of clinical recording and observation tools (e.g., VALT).
  • Proactively monitor supervisor workflows to ensure they are aware of required reviews and mentorship milestones.
  • Provide technical onboarding and ongoing troubleshooting support for supervisors utilizing training technology.

LMS Moderation & Technical Support

  • Oversee the daily administration of the Learning Management System (LMS), including user enrollment, content uploads, and platform updates.
  • Act as the first line of support for learners experiencing technical difficulties or navigation issues within the digital learning environment.
  • Monitor platform engagement and identify opportunities for UX improvements or streamlined delivery.

Data Consistency & Quality Assurance

  • Maintain accurate and consistent training records, ensuring all learner data, certifications, and progress reports are up to date.
  • Implement and follow standardized naming conventions and organizational structures across all digital assets and platforms.
  • Generate regular reports on training completion rates and data integrity to support the Clinical Training Development Specialist.

Skills, experience, and competencies:

Required

  • Education: Bachelor’s degree or an equivalent combination of education and relevant professional experience.
  • Experience: 2+ years of experience in program coordination, administrative operations, project coordination, event coordination, or a related role.
  • Organization: Strong organizational skills and attention to detail, particularly when maintaining records or working across multiple systems.
  • Independent execution: Ability to prioritize competing responsibilities and independently move assigned work through completion.
  • Communication:
    • Strong written and verbal communication skills
    • Ability to support users with different levels of technical proficiency
    • Ability to communicate effectively and professionally with licensed clinicians, clinical supervisors, and trainees, with appropriate respect for clinical roles, boundaries, and workflows
  • Tech savvy: Demonstrated ability to learn, independently use, and troubleshoot new technology platforms.
  • Confidentiality: Ability to handle confidential information with discretion and follow established privacy and security procedures.
  • Adaptability: Ability to work effectively in a growing organization where priorities, programs, and processes may evolve.

Preferred

  • Education or training in healthcare administration, education, psychology, behavioral health, business operations, information systems, or a related field.
  • Training & Healthcare Experience:
    • 1+ years supporting training, education, professional development, or continuing education programs.
    • 1+ years working in a healthcare, behavioral health, mental health, or other clinical environment.
  • Systems Experience:
    • Experience administering or supporting a Learning Management System.
    • Experience with clinical recording, observation, or supervision technology.
  • Process improvement: Experience developing or implementing operational workflows, organizational systems, or standardized processes.
  • Clinical research: Familiarity with clinical research operations and Good Clinical Practice, Good Documentation Practice, or comparable documentation standards.
