WHAT YOU’LL DO

As our Office Experience & Events Associate, you'll play a crucial role in maintaining a smooth and efficient work environment for our Nashville office. You'll be the on-site point of contact, managing daily office operations and supporting both our team and visitors. Your responsibilities will span both administrative and event coordination tasks, and ensure a welcoming and well-organized workspace. This is a full time, in office position M - F.

In this role, you’ll:

  • Be present on-site to handle reception duties and manage office operations.
  • Act as the primary liaison with building management, addressing both daily and emergency concerns.
  • Oversee the reservation process for conference and event spaces, manage parking passes, visitor validations, and keycard access.
  • Supply and maintain office snacks and drinks, liaising with vendors or shopping as needed.
  • Keep the kitchen area clean and stocked, manage office supplies, and coordinate copier maintenance.
  • Ensure that workstations and conference rooms are set up and properly maintained.
  • Support visitor and event needs, including catering, reservations, and providing information about office policies and guest WiFi.
  • Plan and execute monthly social events, including coordinating lunch or drinks to encourage office attendance, and managing signage and decorations for special occasions.
  • Handle incoming and outgoing mail sorting and delivery.
  • Develop and manage budgets related to office supplies, reservations, and parking.
  • Have cultural ownership of our Nashville office. We’re looking for someone warm and enthusiastic to bring joy to our team and liveliness to our environment.
  • Assist marketing in all aspects of event planning, including venue selection, menu planning, guest management, and vendor coordination, while ensuring seamless execution that aligns with marketing goals, objectives, and budget constraints.

WHAT YOU’VE DONE

  • Experience: You have previous experience in office management or a similar administrative role for a distributed start-up or tech company.
  • Skills: Strong organizational and multitasking skills, with a keen eye for detail. You’re a people person, a cheerleader, a listening ear and a helping hand.
  • Communication: Excellent interpersonal and communication abilities, comfortable interacting with both staff and visitors. Your positivity and your spirit are contagious.
  • Technical Proficiency: Proficient in Google Suite, Zoom, Slack, and general office equipment. You know the good vibe restaurants and unique experiences in Nashville.
  • Event Management: Experience with event planning and vendor negotiations. You love planning fun experiences inside and outside the office, whether they are bonding events for our team or memorable business dinners for our guests and clients.

This is a non-exempt, full time position. The pay range for this role is $26.00 - $31.00 / hour, dependent on experience.
